1. Who we are
Build By Design (NW) Limited (Company No. 16522245), registered in England and Wales, provides residential building project planning and development services to homeowners. This policy explains how we handle personal data collected through buildbydesign.services and through the enquiries you send to our team.
For the purposes of the UK GDPR and the Data Protection Act 2018, Build By Design (NW) Limited is the data controller for the personal data described below.
2. What we collect
When you send an enquiry, request a feasibility review or ask us to coordinate a project, we may collect:
- your name, email address and telephone number;
- the address or general location of the property concerned;
- details of the work you are considering — property type, renovation or extension plans, planning status, timescales and any budget range you choose to share;
- drawings, photographs or documents you send us;
- a record of our correspondence with you.
We do not take payment or store card details on this website. Payment arrangements for any appointed work are agreed directly with our team.
3. How we use your personal data
We use your information to:
- respond to your enquiry and answer questions about your project;
- prepare feasibility assessments, project planning proposals and written quotations;
- coordinate contractors, surveys and third-party suppliers where you ask us to;
- keep records of the work we have quoted for or carried out;
- meet our legal, tax and accounting obligations.
Our lawful bases under the UK GDPR are: performance of a contract or steps taken at your request before entering a contract; our legitimate interests in running and developing our business; your consent where you have given it; and compliance with legal obligations.
4. Who we share it with
We do not sell your personal data. We share it only where it is necessary to deliver a project or service you have asked for — for example with structural engineers, surveyors, planning consultants or building contractors involved in your project, and with IT and email providers that host our systems. Any supplier acting on our behalf is required to keep your information confidential. We may also share information where we are legally required to do so.
5. How long we keep it
Enquiry records that do not lead to a project are kept for up to 24 months after our last contact with you. Project, quotation and financial records are kept for up to 6 years so that we can meet accounting and legal requirements. When information is no longer needed we delete or securely anonymise it.
6. Your rights
Under the UK GDPR you have the right to request access to the personal data we hold about you, to have inaccurate information corrected, to ask for it to be erased, to restrict or object to certain processing, to receive it in a portable format, and to withdraw consent at any time where consent is our basis for processing. To exercise any of these rights, contact us using the details below.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk. We would always prefer the chance to put things right first.
7. Cookies and this website
This website uses a small number of cookies. Essential cookies keep the site working and remember your cookie choice; optional analytics cookies help us understand which pages are useful. You can change or withdraw your choice at any time through our cookie notice or your browser settings. Our Terms & Conditions set out the cookie position in more detail.
8. Security
We apply appropriate technical and organisational measures to protect the information we hold, including access controls on our systems and secure connections to this website. No online transmission can be guaranteed to be completely secure, but we work to protect your information and to act promptly if an issue arises.
